1. The Balance Sheet
Basic accountancy! How to cash up.
How To Cash Up The first thing to remember is that any mistakes made during cashing up can be corrected. No situation is un-solvable (unless you lose all of the money!!!). Counting The Coins The easiest way is to use the machine. Instructions: · Make sure the machine is switched on. (sounds stupid I know, but you’d be suprised!!!) · Make sure there are no coins in any of the trays. · Clear all information from the machines memory. - Clear the count by pressing C, then confirm by pressing E (for enter). - Clear the memory by pressing and holding M, then press C whilst the memory total is showing, then confirm the Clear by pressing E. - Clear the bag/tray total, press the 0 key next to all the numbers, press C whilst holding the 0 key. Again confirm by pressing E. · Empty the coins into the tray. Press Start. · When there is a batch stop, check which tray is full, empty into a bag (use the bags to make up the floats of £51). · Remember to weigh the bag to make sure it has the correct amount, if it doesn’t check the other trays; the coin may have fallen into another tray. If you can’t find take a coin out of the main part to make sure the bag is even. · When all of the coins have been counted write the total on the concession close sheet. · Any coins being sent through the reject slot should be put back into the machine to be counted, they usually go through on the 2nd attempt. If they’re continuously rejected swap them with a coin that has already been counted. Counting Notes · Counting the notes is simple. Just count, making sure all the notes are the same way round. · Check the notes on the weighing machine. · Write the total on the concessions close out form. Total Cash Figure Your total cash figure is your total notes and coins added, MINUS £51. You take the £51 away because this is the amount of money the float contained before the shift was started. Therefore Total Coins + Total Notes – float amount (£51) = Total Cash Figure Vouchers · Any vouchers, promotional offers, or gift certificates are written in the next set of columns. · Make sure all vouchers are voided, and void is written on both sides of the voucher if there is a perforation. · When noting the voucher, etc. in the appropriate column make sure in the smaller box you write how many vouchers there are, and in the larger box write the total value. Cheques When cashing up cheques make sure all the appropriate information is written on the cheque. This includes: · Payment to UCI UK LTD · The correct date · Amount written matches amount in numerals · Check it has been signed.
